Meet the new Research Project Statement

October 14, 2014

From the day Mosaic launched, one of its key goals has been to provide researchers with better tools to manage their research project finances. Today, the project takes a large step towards that goal with the introduction of a new, interactive report for research projects.

This new report, available immediately, is a substantial improvement on the Flexible Analysis Tool which was delivered last January. Inspired by the Tri-Council’s Form 300 report, the new report builds on that heritage while offering substantial new functions compared to the previous AM-091 report. (The team would like to thank researchers for their patience during the delay in deploying these enhanced statements.) The project team has worked to make this report easy to access and use while adding more features and options, including:

  • Information updated daily and available immediately
  • Complete flexibility on the period of the report, request any timeframe needed, be it a specific week, month, quarter or other arbitrary span.
  • Nested details allow researchers to see high level totals or drill down to sub-totals in a single click.
  • A full project statement, period transactions and outstanding commitments are available in one report.
  • Commitments are calculated for the report period, providing a useful historical view on reports with an end date in the past. Salary commitments are for the lesser of the fiscal year or the project end date.
  • Reports are generally available within minutes of a request. (Response times are often quicker in off-peak times such as early or later in the day.)

The project team continues to work on research administration and additional, incremental improvements will be introduced in the coming months.

Outstanding Issues

  • The new reports have been tested and are working correctly; however, there are some data errors that were introduced during the system transition. These errors have been identified and corrective work is underway.
  • The commitment data is still being vetted. Commitment information should be used cautiously as these values may change.
  • The Research Project Statement is the core report for projects. Researchers should rely on it and not mix this statement with general ledger reports, as transactions may be recorded at different dates in each.
  • A few projects have reconciliation errors. These projects have been identified and corrections are underway.

Accessing Your Research Project Statement

1) Log in to the Mosaic portal using your MAC ID. (You must be inside the McMaster firewall or connected via the VPN to access these statements).

2) Go to the “My Research” tab and select “Research Project Statement” from the left-hand navigation.

3) Enter your PC (project costing) Business Unit, which will be either “RFHSC” or “RFMAC”

4) Enter the project number (Principal investigators have the option of leaving the project number field blank to run a report on all their projects except those in the closed status.)

5) Enter the begin and end dates for the period you want the report to cover. (The report will also include prior period totals.)

6) Click “Save” and then Click “Run Report” button.

7) Follow the "Report Manager" link. When the report is ready it will show up as a link. This could take a few minutes. Can click the “refresh button” if it is not listed.

8) Once the report is available, click the "Research Project Statement" link. An Excel file download will begin.

9) The Excel file will contain three tabs: Research Project Statement, Current Period Transactions, Commitments

10) In the Excel file, note the "+" and "-" symbols on the left and top margins. Clicking these symbols will expand and collapse information.

In addition to these abbreviated steps, the project team has a detailed guide to generating the statement and a guide to using the statement.
