1. Open Outlook Express on your PC.

2. Select the "Tools" menu and click "Accounts".

3. Click on the button "Add>", then select "Mail..." This opens the "Internet Connection Wizard" that will walk you through the setup of your e-mail account.

4. On the first screen, called "Your Name," type your name, as you would like it to appear when you send e-mail. Click "Next>" when you are finished.

5. On the next screen, "Internet E-Mail Address," select the button "I already have an address I'd like to use." Type in yourid@mcmaster.ca where yourid is the user name assigned to you by UTS. (If you do not know your user name, call the Service Desk, ext. 24357 – please have your employee or student number handy!)

6. On the "E-mail Server Names" page, select "IMAP" as your server type from the drop-down menu (the default is "POP3").

7. In the field "Incoming mail (POP3, IMAP, HTTP) server:" type: univmail.cis.mcmaster.ca

8. In the field "Outgoing mail (SMTP) server" type univmail.cis.mcmaster.ca.

9. The "Internet Mail Logon" asks you to supply your username and password. DO NOT type @mcmaster.ca after your username. (It should appear as yourid only, not yourid@mcmaster.ca). For security reasons, UTS recommends you do NOT set the program to “Remember password”. By default, “Remember password” is checked, which means if you enter your account password here, anyone with access to your PC can read your mail. Click “Next>” to continue to the next screen.

10. The "Congratulations" screen: you're finished configuring Outlook Express! Click "Finish" to close the Internet Connection Wizard and return to Outlook Express for further setup.

11. When you click “Finish,” you will be returned to the screen below; click “Properties” to continue.

12. Once you have clicked on “Properties” as instructed above, click the “Advanced” tab. Check “This server requires a secure connection (SSL)” for both Outgoing (SMTP) and Incoming (IMAP) mail servers. You will notice the Incoming mail server changes from 143 to 993, but the Outgoing mail server does not change from 25. Manually change 25 to 465 after you have checked “This server requires a secure connection (SSL).” Click “OK” to save the settings and return to the Internet Accounts screen. Click “Close” and continue to Step 13 below.

13. The next screen prompts you to download any available folders from the server. Click “Yes” to continue.

14. You will be prompted for your password, as below. Enter your password and click “OK” to continue.

You’ll see this screen as Outlook Express polls the server for your e-mail folders:

15. The Show/Hide IMAP folders screen looks like the picture below. In the example given, the folder “news” will not show in your folders list unless you select the folder with a single click and select the option “Show”. Once you have selected your mail folders (as appropriate), click “OK” to continue.

16. Click on the account name from the Folders menu. This will show you the Synchronization menu on the right, where you can use the following commands:

Synchronize Account: same function as “Send/Receive” on the Outlook Express toolbar

IMAP Folders: same function as number 15 above)

Settings: changes how you handle your server messages. You can choose not to synchronize a particular folder, download all its messages, download new messages only, or download headers only. You can choose different settings for each folder in your account.

17. Deleting messages

The default setting for deleting messages on an IMAP server is to “mark” them for deletion (see below). This means the message is still on the server, taking up disk space, and will not be removed until you “purge” your messages. Once you are certain you don’t want the marked messages, you can purge them from the server by using the button on your toolbar marked “Purge,” or you can go to the Edit menu and select “Purge Deleted Messages”.

18. Moving Messages and Folders within Outlook Express

Open Outlook. Identify the folder on UnivMail you want to move to your Outlook Express Local Folders. Click on and Drag identified folder to your Personal Folders and then release mouse. The selected folder on UnivMail will be moved to your computer.

There are several ways to move email between folders, keep important messages on UnivMail and move less important messages to your local folders.

Option 1

Select the email or emails to move, drag and drop them into the destined folder.

Option 2

Select the email or emails. Right click and select Move to folder.

Click on Local Folders and select the destination folder. Click OK.

Unwanted messages should be deleted and purged from folders to reduce disk space. The default setting for deleting messages on an IMAP server is to "mark" them for deletion. The icon will have a red "X" on it and the message header will have a line through it ("strikethrough"). This means the messages are still in your account on the server, taking up disk space, and will not be removed from the server until you "purge" them. When you are certain you don't want the marked messages anymore, purge them from the server by selecting Purge Deleted Messages from the Edit menu. Purged messages cannot be retrieved.
