E-Reports
Presently The FAS AM090 and AM091 (monthly summary and detail statements) are sent via paper for 10,000 accounts to more than 1000 users every month. This translates to 17 boxes of 500 sheets of 8.5 x 14 green lined paper 12 + times a year ! (plus the time to sort, distribute)
Please read testimonials from several key stakeholders. To support UTS green initiatives and practices effective December 2010, FAS Month End reports (AM090 & AM091) will only be available online via E-reports.
E-reports is an online repository of reports https://adweb.cis.mcmaster.ca/CIS/FASreports. Everyone who currently receives paper reports will now receive them in the electronic format.
Here is how it is going to work:
- Currently all operating FAS account holders receive an automated e-mail message advising that their new month-end reports are ready for viewing and will include a link to the web site: https://adweb.cis.mcmaster.ca/CIS/FASreports. UTS is currently working with Research administrators to provide similar online reports for all Research account holders for the end of August 2010.
- You will log in with your Mac ID and password to get access to reports that are produced in the Excel format.
- Online reports will be available immediately following the processing of month-end.
Accessing your reports online will provide numerous benefits:
- There is no need for Facility Services to transport 17 boxes of paper monthly from campus to DTC and then have them distributed throughout campus mail to University departments.
- Eliminate costs related to paper handled by staff.
- Timely access to financial data; available online immediately following processing of month end and particularly valuable during year-end process as each prelim run will now be available immediately online (savings of 3 days of turnaround time for processing of paper reports)
- Ability to run prelims more frequently provide potential to close out year-end processing more quickly.
- Online information is available to print on standard 8.5 x 11 format (not special forms) if needed; also available in CSV format which directly feeds into Excel, and populates a spreadsheet; reducing / eliminating need for rekeying information.
- Improved security of information; every report is directed to the account holder.
- Easier access for Research Accountants to reports in Excel and only the reports they require (i.e. not receiving paper reports for accounts with minimal activity); results in substantial savings in staff time for paper handling/filing.
- Paper savings (17 boxes x 12 months plus year-end).
