HOW TO OPEN CORPORATE CALENDAR
The Corporate Calendar program may be launched by either of the following methods:
- Click on Start-->All Programs-->Oracle Calendar-->Oracle Calendar
- Create a desktop shortcut to OCal.exe (if one doesn't exist). Double click on the shortcut icon.
Once loaded, the Oracle Sign-In box will display.
Type your Calendar login ID and password in correct locations. Make sure the server name reads "calendar".

HOW TO AUTO-START CORPORATE CALENDAR AT BOOTUP
The following steps will automatically start Oracle Calendar when a Windows computer boots up.
- Click the Start button, and then point to Settings.
- Click Taskbar, and then click the Start Menu Programs tab.
- Click Add, and then click Browse.
- Locate the program you want to start (OCal.exe), and then double-click it.
- Click Next, and then double-click the StartUp folder.
- Type the name that you want to see on the StartUp menu, and then click Finish.
- If Windows prompts you to choose an icon, click one, and then click Finish.
HOW TO CHANGE YOUR PASSWORD
Follow these steps to change your login password for Corporate Calendar.
- Log onto Corporate Calendar.
- From the menu bar click Tools-->Change Password. Enter your old password followed by the new password. Passwords are case sensitive, must be at least 6 characters in length and can include numbers and special characters.
HOW TO SET UP PREFERENCES
You can personalize your Agenda to suit your needs and habits. Setting preferences allows you to establish default settings that make your Agenda work for you.
To edit your calendar preferences, from the menu bar, click Tools-->Options, and select the preferences you wish to change from the list. We recommend you set your off-line preferences to backup your calendar to a local file for use in network or other system emergencies.
HOW TO MAKE OFFLINE BACKUPS
Backups of all your calendar data can be created on your PC each time you close Oracle Calendar down. These backups would be used in an emergency (eg. Network, Corporate Calendar, or System Hardware is down).
- From the Menu bar select
a) Tools-->Options-->Offline
b) Select "Download" and make sure that the "Download Period" date range is adequate for your needs then select either "Automatically Download" or "Prompt before downloading".
c) Select People/Resources and make sure that you download calendars for any resources and designates that you think you will need access to if you work offline.
d) Select Reconciliation and check that the settings match your needs e.g. you may want check for conflicts on upload (i.e. when you go back on online) - Create an offline backup by clicking File-->Download to Local File
- Try accessing your offline calendar to make sure that you can access the data you require. From the menu bar select
a) File--> Work Offline (remember to go back online).
HOW TO SET ACCESS RIGHTS
The Access Rights dialog box (Tools-->Access Rights) allows you to designate rights to others. It also lets you decide how much information about your entries other users will have access to when they open your agenda (for example, when they are working in a Group Agenda). Furthermore, you set the defaults for other users' access rights in your Agenda here.
HOW TO DELETE ITEMS FROM THE CALENDAR
Using the Oracle Calendar client software,delete items from your In-tray, Task list, or Daily, Weekly or Monthly View of Agenda by a right mouse click on the item in your calendar and select "Delete Meeting" (or Task). Alternately, you may left click once to hilight the item, and then hit the delete button on the keyboard. Click "Yes" to accept the deletion or "No" to cancel.
Note: You can delete only items that you created. If another person initiated an item you will not be able to delete it.
HOW TO MODIFY ANOTHER'S CALENDAR AS A DESIGNATE
- Click on File-->Agenda-->Open As Designate
- Those users who have granted you designate rights will be displayed. Select the user or resource for whom you wish to work as a designate from the list.
- Choose OK and the selected user's or resource's Agenda will be opened and you can proceed to add or edit agenda items.
NOTE: If you have not been granted designate rights by any other user, you will receive the following error message "You have no designate rights for a resource or for another user". These rights are set in Tools-->Access Rights-->Designate.
HOW TO CREATE SCHEDULING GROUPS
To create a private group for frequent scheduling needs, from menu bar, click Tools-->Manage Groups, then click on "New".
- Type the group's name in the Group name box.
- For Group Type, choose one of the alternatives from the pull-down menu that appears when you click the arrow to the right of the edit box. (You are authorised to add private groups only.)
- In the Members box, enter the last names of the people or resource name you wish to add to the group, one at a time, pressing <return> or clicking on
after each name. - Click OK once you have finished adding members to your group.
HOW TO USE THE GROUP AGENDA
The Group Agenda allows you to view the daily calendars of several people and resources side by side. Conflicting time is distinguished from free time and you can easily schedule an event at a time when everyone is available.
Click on File -->Group View-->Open. The "Open a Group View" dialog box will display. Type the last names of the people whose calendars you wish to view, or select their names from the directory
or select an existing private group
. The Group Agenda is made up of a number of columns. The names of the people and resources you have chosen to include in your Group Agenda appear along the top of the columns. The first column is a combined view: white space indicates the times all the people and resources you have selected are available. Red blocks indicate times when at least one person has a scheduling conflict. All the subsequent columns show the individual Day Views that make up the Group Agenda.
HOW TO SEARCH YOUR AGENDA
You can search through your agenda or that of someone else (someone who has designated you) for any scheduled meeting, event or even note. From the menu bar, Select Tools-->Search Agenda. Use the "Search Criteria" tab to enter what you are searching for and specify the time span that you are searching. Using the "Search Options" tab, select all options that you wish to include in the search. Use the "Search Agenda" tab to choose which Agenda you wish to search.
NOTE: you can only search one agenda at a time. When you have entered all of this data, click the Search button and the results will be displayed in "Search Results" field.
HOW TO USE DAILY NOTES AND EVENTS
Schedule special events such as displays, promotions, peak work periods, without taking up (bookable) time in your calendar by clicking on
. Daily notes such as colleagues' vacation time or other reminders can be added to your calendar without using bookable time by clicking on
. Daily notes and events display along the section at the bottom of your calendar in day or weekly view.
HOW TO CREATE AN ARCHIVE OF YOUR CALENDAR (More Deatils)
Offline backups of your calendar data are overwritten every time CorporateTime is shut down. You may wish to create a more permanent archive of your old calendar data for reference in the future.
To do this, from the menu bar choose File-->Export Data. In the dialog box that appears, ensure that "iCalendar file" is selected, then press "Continue." A dialog box named "Export iCalendar File" will appear. Select the types of meetings you wish to export as well as the date range that will be exported. Ensure that all Designators/Resources that you want included have been listed and that the file name of the Archive is meaningful e.g. mycalID1999.vcs. Next click the "ok" button and the export will begin. You will be informed when the export is complete.
HOW TO IMPORT AN ARCHIVE OF YOUR CALENDAR (More Details)
In order to open (or "import") an archive of your calendar, you must follow these simple steps
NOTE: FOLLOW THEM VERY CLOSELY OR YOU COULD LOSE YOUR EXISTING DATA.
- First and most important, go offline: Select File-->Work Off-line.
- Next, select File-->Import Data.
- At the dialog, ensure that "iCalendar file" is selected and click "Continue".
- At the next dialog, ensure that all settings are as you want them and then find the file (you will probably have to Browse your hard drive to find it) and click "ok".
- Answer all dialogs you are presented with appropriately and you will be informed when the import is complete.
HOW TO ACCESS YOUR CALENDAR USING A WWW BROWSER
You can access your calendar using a WWW browser such as Internet Explorer or Netscape Navigator. You will be able to view, modify and create calendar items, however there are some restrictions on functions and some functions are not available e.g. appointment reminder pop-ups. (though there are email reminders)
Connect to https://calendar.mcmaster.ca/ and enter your Calendar ID and password at the Oracle Calendar login screen.
