Helping Finance and Research Finance System Users Prepare

Issue 2

This newsletter series is intended to help you prepare for the introduction of PeopleSoft Financial Tools at McMaster .

Preparing for the Cutover

This December PeopleSoft Financial Tools, will replace McMaster's legacy accounting and finance systems. As part of the transition, several processes in the current accounting systems must be brought to a close, similar to a year-end. The project team has assembled a cutover memo that outlines the systems which are affected and the last day that transactions may be recorded in the legacy system. After a system is closed, all further transactions will be entered into the new PeopleSoft system. The memo also contains a full list of area specific contacts, should you have additional questions.

Changes to Employee Reimbursements (T&E Claims)

To provide context for some of the changes mentioned in the cutover memo, the project team has released an explanation of the changes to travel and expense claim processes. Key process changes include a shift to paying expenses as they are incurred, a focus on the McMaster Diners Club MasterCard as the preferred way to pay for travel and expenses, and the need to scan and electronically attach receipts. Read the full story for details.

Training Registration Opening Soon

The initial training registration invitation will be going out soon. System users will receive a direct email inviting them to log into the project's training website where they can take online courses and sign-up for classroom courses. Users will be contacted in order of their previously identified training priority status (i.e. high frequency user will be contacted first). Different user groups will be emailed at different times.
