Configuring Outlook 2003 for use with UnivMail

Open Outlook 2003. Click on Tools in the Menu Bar. Select Email Accounts. Select Add a new email account and click on Next.

Select IMAP and click on Next.

 

Enter your full name and email address under User Information. The standard email format is emailid@mcmaster.ca. Enter univmail.cis.mcmaster.ca for both incoming mail server (IMAP) and Outgoing mail server (SMTP) under Server Information. Enter your userid under Logon Information. Uncheck Remember Password. Click on More Settings....

Technology Services does not recommend saving/remembering your password for security reasons.

 

Click on the Outgoing Server tab in the Internet E-Mail Settings window. Check my outgoing server (SMTP) requires authentication.

 

Click on the Advanced tab in the Internet E-Mail Settings window. First check thisserver requires a secure connection (SSL) for both Incoming server (IMAP) and Outgoing server (SMTP). Then replace25with 465 in the Outgoing server (SMTP) box. Click OK. Click on Next and then click on Finish

 

Select univmail.cis.mcmaster.ca in the Mail window. Right click and select IMAP Folders.

Uncheck When displaying hierarchy in Outlook show only subscribed folders. Click on Query to see a list of your folders on UnivMail. Click on Apply and click on OK.

 

 

You may choose to create local folders for organizing and storing mail.

NOTE: If you have difficulty sending mail after configuring Outlook, you must patch your operating system using Windows Update and Microsoft Office Product update.

Deleting MessagesThe default setting for deleting messages on an IMAP server is to "mark" them for deletion. The icon will have a red "X" on it and the message header will have a line through it ("strikethrough"). This means the messages are still in your account on the server, taking up disk space, and will not be removed from the server until you "purge" them. When you are certain you don't want the marked messages anymore, purge them from the server by selecting Purge Deleted Messages from the Edit menu. Purged messages cannot be retrieved.

Moving Messages and Folders within OutlookOpen Outlook. Identify the folder on UnivMail you want to move to your Outlook Today [ Personal Folders]. Drag identified folder to your Personal Folders and then release mouse. The selected folder on UnivMail will be moved to your computer.There are several ways to move email between folders, keep important messages on UnivMail and move less important messages to your local folders.

Option 1
Select the email or emails to move, drag and drop them into the destined folder.

Option 2
Select the email or emails. Right click and select Move to folder.
