The following procedures outline the methods of payment to research study participants
and the supporting documentation required.
Payments
to Individuals Via an Advance
Where the amount per subject is under $50.00
each, the researcher may choose to reimburse each participant by cash. In these
cases the researcher may take a lump sum cash advance against their corporate
credit card or they may wish to apply for an accountable advance. In either
case the researcher must complete an expense report following the study to account
for the funds.
To support the claim attach a list containing:
Forward the completed expense report and supporting documentation to the applicable research office and to Accounts Payable, DTC 403 for approval.
Payments to Individuals Via a Cheque Requisition
When the funds have NOT been advanced (as above), subjects may be paid by cheque through the cheque requisition system. Due to the risk associated with the handling, storage and security of cash, this is the preffered method for reimbursing research study participants.
The "payee" section of the cheque requisition should reflect the complete name and address of the recipient. If the cheques are to be returned to the department for distribution, you MUST attach a self-addressed envelope.
Under "payment details" please provide the name and date of the study. The 'cheque stub description' should reference the study as well so the recipient knows what the cheque is for.
Subject reimbursements via cheque requisition do NOT require supporting documentation as long as the information requested above is complete. Under "Doc Forward To", submit as "n" (No supporting documents).
